Outsourced IT project management: running the project and contractors

We work as a team. We take over the management of an IT project carried out by external contractors: we split the work into stages, keep the plan in Jira or Trello, and collect statuses and weekly reports. We accept stages against criteria agreed in advance and tell you what is ready and what is late. We do not replace the contractors: you handle contracts and payments, and we control delivery and quality.

What is included

  • Splitting the project into stages with acceptance criteria
  • Keeping the plan and tasks in Jira or Trello
  • A weekly report on status, risks and deadlines

Who it is for

For companies that order development from outside but have no project manager of their own and do not want to get lost in contractor statuses. It fits if you have at least a shared understanding of the goals. It is not a fit if you want to hand over the running of the business entirely or hire a staff employee.

Not included

To avoid surprises, here is what the base price does not cover and what is discussed separately:

  • Writing code and testing: these are done by the contractors
  • A guarantee that a contractor will meet the deadline or budget
  • Legal support of contracts and payments
  • Hiring, dismissal and staff management at the contractor

FAQ

The rights to code and documents are set by your contracts with the contractors, not by ours. We do not become owners of the result and do not keep access to the repositories. If you want access and documentation to stay with you, we will check this at the start of the project.

The monthly price includes two rounds of changes to the report and plan format: the set of statuses, call frequency or stage structure. Changing the product requirements is not a fix; we price it separately through a change list. We record all comments in writing.

Usually 3 to 7 working days to launch: getting to know the project, the plan, access to the board and the first report. The project itself is already running with the contractors, and we do not promise task deadlines. We confirm the start date after the first conversation.

A description of the project goals, the list of contractors with their contracts or specification, and access to current tasks if they already exist. Appoint a person who makes decisions on priorities and stage acceptance. Without such a person, acceptance will slow down.

Most often Jira or Trello for tasks, Notion or Google Docs for documents, Telegram for urgent contact, and Google Sheets for summaries. We use what your team already uses and introduce a new tool only when needed. We give you access to the board from the first day.

We record the delay in the report at once, state the cause and the options: moving the date, reassigning the work or changing the team. The decision on penalties and contract changes is yours, under your contract terms. We help draft a factual letter to the contractor, but we do not prepare legal documents.

It is good to have someone who can check the result technically: at least a developer or analyst for part of their time. Without one, it is hard to tell whether a stage was accepted correctly. We will help write acceptance criteria so the check is clear without deep technical knowledge.
